General or reason-specific wording?
Choose Return to Sender when a general instruction is sufficient. Use No Longer at This Address, Not Known at This Address or Deceased only when that wording accurately reflects the situation and your organisation's procedure.
Choose the right impression size
Compact 37 × 12mm designs fit smaller envelopes. The 45 × 18mm options give longer explanations more breathing room. The 75mm-wide layouts produce a prominent horizontal instruction, with 11mm or slim 5mm height.
Keep mail handling respectful
Place the mark where it is easy to see without covering the delivery address, barcode or other handling information. For sensitive correspondence, follow your organisation's privacy, safeguarding and records process and avoid adding unnecessary personal detail.
The stamp supports the process
A Return to Sender impression is an instruction on the item; it does not guarantee that a carrier will accept or return it. Follow the relevant carrier requirements and your internal procedure for unopened post, address checks, records and onward handling.
Practical ink-colour choices
Black: neutral, familiar and easy to photocopy.
Blue: useful when distinguishing an original mark from black print.
Red: high visibility where the return instruction must stand out quickly.
Green: useful within an established colour-coded mail process.
Violet: a distinctive alternative for departmental coding.
Use it on suitable envelopes and paper
Standard water-based ink is intended for absorbent matt paper and card. It is not designed for glossy envelopes, laminated labels, coated stock or other non-porous surfaces. Read the Stamp Ink Guide if uncertain.
- Support the envelope on a firm, flat surface.
- Avoid thick seams, windows and uneven contents.
- Press straight down with even pressure.
- Test once on similar scrap paper.
