Choose by return reason and space

Which Return to Sender mark fits the job?

Use a general instruction for routine returned post, or choose specific wording when the reason needs to be clear. Then measure the space available on the envelope or document.

Return to Sender stamp buying guide

Choose clear wording for the reason and the space

Start with what the recipient or mail handler needs to understand. Then compare the impression width, available ink colours and the surface being stamped.

General or reason-specific wording?

Choose Return to Sender when a general instruction is sufficient. Use No Longer at This Address, Not Known at This Address or Deceased only when that wording accurately reflects the situation and your organisation's procedure.

Choose the right impression size

Compact 37 × 12mm designs fit smaller envelopes. The 45 × 18mm options give longer explanations more breathing room. The 75mm-wide layouts produce a prominent horizontal instruction, with 11mm or slim 5mm height.

Keep mail handling respectful

Place the mark where it is easy to see without covering the delivery address, barcode or other handling information. For sensitive correspondence, follow your organisation's privacy, safeguarding and records process and avoid adding unnecessary personal detail.

The stamp supports the process

A Return to Sender impression is an instruction on the item; it does not guarantee that a carrier will accept or return it. Follow the relevant carrier requirements and your internal procedure for unopened post, address checks, records and onward handling.

Practical ink-colour choices

Black: neutral, familiar and easy to photocopy.
Blue: useful when distinguishing an original mark from black print.
Red: high visibility where the return instruction must stand out quickly.
Green: useful within an established colour-coded mail process.
Violet: a distinctive alternative for departmental coding.

Use it on suitable envelopes and paper

Standard water-based ink is intended for absorbent matt paper and card. It is not designed for glossy envelopes, laminated labels, coated stock or other non-porous surfaces. Read the Stamp Ink Guide if uncertain.

  • Support the envelope on a firm, flat surface.
  • Avoid thick seams, windows and uneven contents.
  • Press straight down with even pressure.
  • Test once on similar scrap paper.

Need a department, reference or different return wording?

These ready-made impressions are supplied as shown in the product photographs. If your mail process needs an organisation name, PO box, reference field, department, language variation or another instruction, create it with a personalised text stamp.

Return to Sender stamp FAQs

Can I change the wording on a Return to Sender stamp?

No. These ready-made stamps are supplied with the wording and layout shown in the product gallery. Choose a personalised text stamp if you need your own address, department, reference or alternative wording.

Which ink colours are available?

Options vary by product. The enhanced collection cards show the live ink colours for each stamp, and the product page lets you choose from the variants currently attached to that design.

Do I need a separate ink pad?

No. These are self-inking stamps with an internal ink cartridge, making them convenient for repeated office use.

What surfaces can I stamp?

Use the standard water-based ink on absorbent matt paper and card. It is not suitable for glossy, laminated, coated or non-porous materials.

Which Return to Sender wording should I choose?

Use general Return to Sender wording when no further reason is needed. Choose No Longer at This Address, Not Known at This Address or Deceased only when that statement is accurate and suitable for your organisation's handling process.

Does stamping an item guarantee that it will be returned?

No. The stamp adds a clear instruction, but carrier requirements still apply. Follow the relevant return-mail procedure and avoid covering the delivery address, barcodes or other information needed to handle the item.
