Create a consistent paper trail

A simple accounts-marking workflow

Use only the stages that match your own process. The stamp makes the status visible; it does not send a reminder, update the ledger or make the underlying decision for you.

1

Record completion

Mark paperwork after payment has been received and matched to the correct account.

Payment Received
2

Flag the overdue item

Make an overdue payment or account visible according to your chosen review point.

Overdue
3

Show escalation

Use a final-notice mark only when the paperwork has reached that stage in your process.

4

Mark account status

Apply the on-stop wording to the relevant record after the account status has been decided.

Account On Stop

Choose the impression format

Block message or long payment line?

The stated millimetre dimensions describe the maximum impression area, not the outside of the stamp body.

Account Overdue

45 × 18mm block

The main format across the collection. It gives short and multi-word account messages a compact, prominent footprint.

Payment Overdue

75 × 6mm long line

The Trodat 4918 payment stamps use a long, shallow impression that can suit narrow spaces on invoices and statements.

Visual emphasis

Bordered or plain?

A border can separate the phrase more strongly from surrounding print. A plain impression is visually lighter. The wording remains fixed either way, so compare the actual product gallery—not only the title—before ordering.

The product variant selector is the final guide to availability. Standard ink is water-based and intended for absorbent matt paper and card.

Black

Strong contrast for routine accounts paperwork.

Blue

A clear alternative that can distinguish hand-marked records.

Red

High visibility for warning and escalation messages.

Green

Useful for completion marks and colour-coded workflows.

Violet

A distinctive colour for internal filing systems.

These stamps have fixed wording

The phrase or icon cannot be amended on the ready-made listing. Check the complete product image, spelling and layout. If you need a customer name, invoice field or different statement, choose a personalised stamp instead.

Accounts stamp FAQs

Before you choose

Can the wording on an accounts stamp be changed?

No. These ready-made stamps are supplied with the wording and layout shown in the product gallery. Choose a personalised text stamp if you need a different phrase, customer name or extra information.

What is the difference between bordered and plain versions?

A bordered impression frames the phrase for stronger visual separation; a plain impression is lighter. Compare the current product photographs because the exact supplied layout is the final reference.

Which ink colours can I choose?

The current listings offer black, red, blue, green and violet. Select the required colour on the product page and check the chosen variant before adding the stamp to your basket.

Which surfaces can I stamp?

Use the standard water-based ink on absorbent matt paper and card. It is not suitable for glossy, laminated, coated or non-porous materials unless the product listing specifically states otherwise.

Do I need a separate ink pad?

No. These are self-inking stamps with an internal ink cartridge. The mechanism returns the rubber impression plate to the cartridge after each press.

Can the ink cartridge be replaced?

Yes. Match the replacement cartridge to the exact stamp model and required colour. The 45 × 18mm products currently link to COLOP E/30 pads; ask Stamp Ninja before ordering a cartridge for another model.

Need different wording?

Choose a personalised text stamp for a custom phrase, or ask Stamp Ninja to help you find the closest format and impression size.
