A safer buying sequence

Check the process before the stamp

A good stamp makes approved wording quicker to repeat. It cannot decide whether the wording, certifier or checking process is valid for a particular document.

1

Confirm the requirement

Ask the organisation receiving the document which wording, person, signature, date and supporting details it requires.

2

Inspect the stamp artwork

Compare the complete impression shown in the product photographs with the required statement. Fixed-wording stamps are supplied as shown.

3

Complete the human checks

Carry out the actual comparison or prescribed check, then add the relevant signature, date and records. The stamp is only one part of that evidence.

Important distinction

The mark supports the record; it does not create authority

Using a certification or compliance stamp does not itself certify a copy, prove a right-to-work check, make correspondence confidential or authorise the person applying it. That result depends on the actual process, the responsible person and the current rules.

  • Check wording with the recipient before ordering.
  • Use the correct person to carry out and record the check.
  • Sign and date wherever the process requires it.
  • Keep any supporting records for the required period.
  • Recheck official guidance when rules change.

Official guidance

Check the current rule at source

These government pages are a better final authority than a product description. They open separately so customers can verify the current process.

Practical use

Make a clean, reviewable impression

Use absorbent matt paper

Standard self-inking cartridges use water-based ink. They are intended for ordinary matt paper and card, not glossy, coated or non-porous stock.

Keep the signing space clear

Place the impression where the full wording is readable and any required signature, printed name, date or contact details can be added without crowding.

Test before the working document

Make a practice impression on spare paper. Check orientation, coverage and the complete wording before marking the document or envelope.

Replace the correct cartridge

Match replacement ink to the exact self-inking body. The Rule 39 model is supplied in red; the current certification models are listed in black.

Legal stamp questions

Does the stamp itself certify a document?

No. The stamp repeats wording. Certification depends on the person checking the original and copy, their authority or acceptability to the recipient, and any required signature, date and contact details.

Can the wording on the ready-made stamps be changed?

The fixed-wording products are supplied with the impression shown in their photographs. The business-name product includes the personalisation stated on its page. Check the complete preview or artwork before ordering.

Is an LPA stamp enough on its own?

No. Current GOV.UK guidance specifies page-by-page statements and requires every page to be signed and dated. Compare the visible stamp wording with the statement required for the particular page before use.

Does the right-to-work stamp prove the check was completed?

No. Employers must complete the prescribed check and retain the required evidence. The stamp can provide a consistent place to record a date and signature, but the marked copy alone does not prove that every required step was completed.

Can I use these stamps on glossy paper or plastic?

Standard self-inking ink is intended for absorbent matt paper and card. It is not suitable for glossy, coated or non-porous surfaces unless a product specifically states otherwise.

Which ink colour is supplied?

The current Rule 39 stamp is listed in red. The current certification, LPA, likeness and right-to-work products are listed in black. The product page and available variant options are the final reference.

Unsure which wording matches the request?

Confirm the required statement with the receiving organisation first, then ask Stamp Ninja to help identify the closest stamp format.
